# MinnaLearn admin handbook


# MinnaLearn admin handbook




Hi! Welcome to using our MinnaLearn platform. This handbook gathers all relevant information for admin users of our product. 

### Logging in


Access the [__MinnaLearn Platform__](https://www.google.com/search?q=link) using your email (Google/Microsoft SSO enabled). 

Only admin users can use the following features on our platform: 
1. [Statistics](#3-1-statistics)
2. [ Invitations](#3-2-invitations)
3. [Customizations](#3-3-customizations)
4. [SCORM files](#3-4-scorm-files)
5. [Resources](#3-5-resources)



### 1. Statistics



###### Adding new admins


If you want to add new admins for your organization, here is how to do it: 
Click your name (top right) > My Organization> Statistics
Scroll down to the Members list, find the person you want to promote to admin, and click on the “member” under Role

A new pop-up opens where you can change the role of the user from member to admin

###### Learner data


*This section is mainly for customers taking the courses on our platform instead of their LMS.* 

**Enrollment Summary**

* Registered users - how many people have joined MinnaLearn / logged in
* Enrollments - how many people have started the course
* Completions - how many people have completed the course
* All completions - how many people have completed the course (including deleted users)

**Course enrollments**

* Enrollments - how many people have started the course
* Completions - how many people have completed the course

Data visible per course and language.

###### Export data


Export learner data as csv file by clicking on export, then choosing the course and the language of the course. Note that for now each language is its own data set.

### 2. Invitations


*This section is mainly for customers taking the courses on our platform instead of their LMS.* 

You can invite users to the course in two different ways:

1. **Individual invitations**
You can edit the email template and after saving, you can insert individual email addresses to the line, separated by commas and then click “send invitation”. This is good if you want to share the course with specific individuals with a specific email message that you want to modify.

2. **Multiuse Invitation Link**
You can generate and use a link to share with anyone you want to join the course. This means that anyone who clicks the link can join the organization on the MinnaLearn platform; they are first directed to create an account.

If you’d like to restrict that only people from certain email domains are able to join the organization, you can do it by clicking the “edit multiuse invitation” button and inserting there only the email domains that you allow to join the course.

### 3. Customizations


###### Add your AI policies (optional)


Here you can add your organization’s AI policies to chapter 4. There are a total of 6 policy blocks where you can add your own AI policy text: 
1. AI tools
2. Your ethical use policy - Ethical use
3. Confidentiality - Confidentiality and privacy
4. IP - Quality, accuracy, and IP
5. Safe use policy
6. Learning

You can insert the policy text into each section, then click Save. Note that you can also include links, in case you want to e.g. direct people to the original AI policy document. After clicking Save, these populate directly into Chapter 4. 

###### Other languages


You can add AI policy content in different languages, depending on the languages you have available. Just click on languages and choose the right language from the dropdown, insert the policies, and click save.

###### Showing the same policy for other language versions


If you’d like to show e.g English AI policy text in other language versions of the course, you can click on the “fallback”. This means that if your policy text is empty in other languages, the English policy text will be shown instead.

### 4. SCORM files

In the SCORM tab you can select and download your required course packages. Files are available in both SCORM 1.2 and SCORM 2004 formats across all languages included in your subscription.

**Customising AI policies**

Before downloading, you can edit your organisation's AI policies under the Customisations tab. Once saved, downloaded SCORM packages will automatically include your custom policies in Chapter 4.

**Previewing SCORM files**

SCORM packages cannot be previewed correctly by opening them locally on your computer. Upload the package directly to your LMS to test and preview the course content.
